Patient Module Tabs

The patient data record is divided into several tabbed sections, as seen below from the Summary screen. We well now review each tab and the data elements on them! You will be able to know what screen you are by the color of the tabbed section.

The tab bar buttons and functions
Patient ID
The Patient ID Code is created using the first 3 letters of the last name plus the first 3 letters of the first name plus a number starting at "1", going higher as needed to create a unique code for this patient.  This typically produces a 7-digit code.  If the patient ever changes his or her name, you will have to “re-build” the code by click on the arrow icon next to the Patient ID field. This code is used to ease finding a patient.

Chart
The Chart is a "serial number" that increases by one for each new patient. Write this number on the outside of the patient's chart for quick reference.  It is one way to find a patient’s record.  If a patient changes his/her name, the Chart number would remain the same.  All balance updates and ledger searches use the Chart# and not the Patient ID for this reason.


Ext No
This alpha-numeric field is used to enter a previous chart or medical record number. The entry must be unique. To add or change this field click the Edit me button and make your changes in the dialog box that follows.

Find Button
Clicking this gives you the dialog below. You can enter the Chart, Name(Partial OK), Any Phone or Patient ID. This button has the same action as the Find Patient Record button on the Main Menu. When entering a phone number do so without dashes (i.e. 2015551212 not 201-555-1212). This will then check the Phone, Cellular and Fax fields for a match!




Show All
This undoes any search you did and makes all records available to scroll through with the navigation buttons on the bottom of the screen.

New Patient +++
Clicking this starts the process of starting a New Patient.

Address Label and Chart Label
These buttons will print either an address or chart label for the patient. The chart label layout can be customized on the Syst Prefs screen of Office Startup.

List
The button just takes you to the list view to review your current set of patients. Let's say you found 10 "John Smith"s and wanted to review them as a list, this is the button for you!

Special Form
Once you have properly set up your Forms Module you will be able to select which custom form to print for this patient, whether it is a "New Patient Information" letter or a "Thank you note".

Vision
If you have an eye care practice, clicking this button (if available), either creates or views the patient's eyeglass prescription record.

Coversheet
This is also a form that you can customize in the Forms Module that has patient information and releases to be signed.
